POSITION / PURPOSE:
Assist the staff in efficiently operating Veterinary Transplant Services, Inc. by providing hands-on, day-to-day support for operations of the tissue bank. The primary areas of responsibility are administrative.
PRINCIPAL RESPONSIBILITIES:
These will be performed under general direction from the Director, and Tissue Bank Outreach Coordinator but will require considerable independent activity, decision-making, and problem-solving:
Customer Service:
• perform front office / reception duties
• interact with customers, distributors, and vendors
• create invoices, log grafts out of database, create shipping paperwork packets
• provide basic product support and triage case consults to director
•pack and ship orders, track & coordinate shipments to meet surgery schedules, as needed
• respond to requests from customers for information about products, including sending information packets
• perform follow-up calls, etc., support customer interests and ensure we are meeting their needs
Administrative / Miscellaneous:
• perform printing, filing, data entry, making copies and compiling informational packets for customers
• perform scanning and filling
• assist production team in the final stages of graft release by assembling product boxes, transferring graft, etc.
• assist with inventory and audits of products and supplies
• provide purchasing assistance for office supplies
• Receiving and logging supplies
Marketing Support
• work with Marketing Team to implement marketing program goals and enhance customer service
• participate in preparations for conferences and trade show planning and follow up
Maintain regular communications with supervisor about challenges, ongoing issues and general operations.
Other general duties, as assigned.
REQUIREMENTS:
Exceptional communication skills (with supervisor, staff and customers) and attention to detail;
Good typing, spelling, and grammar skills are a must;
Well organized and able to manage long and short term projects; Ability to work independently and exercise good judgment;
Competency with computer programs (e.g., Quickbooks, Word, Excel, Powerpoint, Access, etc.);
3 years experience in similar position, and experience in veterinary or biotech setting a plus;
ADDITIONAL INFORMATION
We are looking to hire someone 24-32 hours per week and this position is somewhat flexible to your schedule. VTS is open 8:30-5pm Monday through Friday.
